Wedding planning: method, budgets & timeline

Planner with a wedding checklist and timeline

Planning without stress needs a clear method, tight budget control and a realistic timeline. Here’s a simple framework to make decisions.

5-step method

  1. Vision & priorities: 3 guiding words and guest count.
  2. Budget: set a cap and % by category (venue/catering, music, photo…).
  3. Dates & venue: lock a date + weather plan B.
  4. Team: photo/video, music, florals, planner if applicable.
  5. Production: day-of timeline, contracts and payments.

Budget (percentage guide)

  • Venue/catering: 40–50%
  • Music/entertainment: 10–15%
  • Photo/video: 10–15%
  • Decor/ambience: 10–15%
  • Attire/beauty/rings: 5–10%
  • Stationery/favors/transport: 5–8%
  • Contingency: 5–10%

Timeline 12→0 months

  • 12–9 mo: date, budget, venue and key vendors.
  • 8–6 mo: catering, music, florals, website/RSVP.
  • 6–4 mo: attire, lodging, transport.
  • 3–2 mo: menu tasting, timeline and ceremony.
  • 1 mo–week: confirmations, payments, emergency kit.
  • Day-of: blocks with owners and buffers.

Risks & plan B

  • Weather (tents, lighting, flooring) and power (generators).
  • Health/allergens: signage and menu options.
  • Vendors: substitution clauses and backups.

Useful tools

  • Spreadsheet for budget and payments.
  • Task manager (Trello/Notion) for owners and dates.
  • Floor map + seating plan.
